Bank connection authorizations

The implementation of automatic payment transfers requires that the owner of the bank account authorizes the Procountor service to carry out the data transfer operations necessary in the payment transfers.

It should be noted that if the authorization form is delivered via email to the bank, the bank may require it to be specifically in PDF-form. The bank may provide further details.

It should also be noted that some banks (Nordea for example) may require also an electronic signature for the final confirmation of the authorization form. This is made in the internet bank with banking authentication codes. This phase is subsequent to the delivery of the authorization form to the bank. Only after the electronic signature has been made, the services are activated.

The authorization is executed by the user filling out the authorization form and delivering it to the bank. Based on this authorization, the bank provides the required identification codes and attaches the services to Procountor's bank identifiers. Finago has no access to the funds on customer companies' bank accounts, but acts as an intermediator of payment files between Procountor and the bank.

The authorization form does not need to be submitted to Finago for signature. The contract is a matter between the bank and the customer. Finago only acts as an intermediator of payment material.

The bank account has to be a corporate account in order to use it in Procountor. Generally, banks can not authorize a third party software house (Finago Oy) to handle payment material of private individuals.

This page includes the forms for different banks and instructions for filling out the authorization forms.

After the bank connection authorization has been filled out and delivered to the bank, the bank account number is added to the Procountor environment. Detailed information about the implementation of bank connections can be found here.

We recommend submitting the authorization with accounting office, so that all the necessary services are activated.

Digital power of attorney is only suitable for limited liability companies, sole traders, general partnerships, and limited partnerships. Registered associations, foundations, and housing companies can fill in the PDF form. The digital form cannot be used to activate currency payments. If you need to activate currency payments in Procountor fill in the PDF form.

Please note that the channel in the form field Data transfer channel user ID (e.g. Web Services channel) is not selectable in Procountor. In Procountor, select WS customer number 1000064472, so that payments will be directed to the correct channel 1000074813.

Making a digital power of attorney requires identification, and you can identify yourself with the credentials of OP or other Finnish banks.

The authorized signatory of the company or association must sign the authorization. The signer will receive a notification by e-mail when it is ready to be signed. OP processes the power of attorney within a week of signing.

Please note! Due to an error on 25.11.2022, Osuuspankki WS channel 1000064472 has changed. Customers using WS channel 1000064472 have been transferred to use WS channel 1000074813. This change doesn't require any action from Procountor users. Even though the old WS channel number is still shown in Procountor, payments are directed to the new WS channel 1000074813. It should be noted that if the bank account balance feature is activated by the bank to such company that already has a bank connection authorization with Procountor, the bank account balance feature can be activated with the same intermediary details the company has been using in Procountor. The forms that are available above feature the newest intermediary details such as the newest available web services channel but the older details can be used as well if the company so prefers. The company should however discuss this with their bank.

In case of OP, Nordea, Säästöpankki, OmaSP and Danske Bank, it should be taken into an account, that the Web Services channel is on the authorization contract. Bank specific WS channels are listed below:

Alisa pankki

If you want to use the Finago Procountor Tili -service, which includes full data transfer between the bank account and Procountor, you need to open a separate Finago Procountor Tili business account with Alisa Bank. Read more about Finago Procountor Tili here.

An Alisa Bank's bank account (without using the Finago Procountor Tili service) can be added to Procountor, but there is no bank connection, meaning payments cannot be made and account statements cannot be received. Payments and bank statements import must be done via Alisa Bank's online banking.

Procountor Holvi

With the Procountor-Holvi bank connection, you can access Holvi’s services directly through the Procountor software. This service covers all data transfers between Holvi and Procountor. Read more here.

VIVA Payment Services, Narvi Payments, BigBank Finland and TrueLayer (Ireland) Ltd

You can add VIVA Payment Services, Narvi Payments, BigBank Finland and TrueLayer (Ireland) Ltd, Suomen sivuliike to Procountor. When inserting these banks to Procountor in Bank account information -view Procountor recognizes the BIC code automatically.

Please note that there is no bank connection between Procountor and these bank. It is not possible to transfer bank statement data from these banks to Procountor, nor can payments be made from these banks' accounts through Procountor.

  • The information from the banks' statements can be brough into Procountor, for example, using a journal receipt.

  • Bank account information can be added to Procountor's Bank account information –view (Management > Company info > Bank account information). In this way, account numbers can be used on sales invoices.

  • If accounts from these banks are used, for instance, purchase invoices can be paid outside of Procountor using another program, and the purchase invoices can be marked as Paid elsewhere in Procountor.

    • The Paid elsewhere marking does not automatically make entries in the accounting, so these need to be adjusted manually if necessary.

Exceptions

  • DNB and SEB have their own authorisation forms for Procountor; in these cases, you must contact your bank. SEB’s customers can contact their bank also by email ([email protected]).

Filling out the authorization form

The authorization form is selected based on the bank that is used. Required information should be filled out and then the form can be printed and signed. After signing the form, it can be taken to the bank office or sent by an email mentioned in the form. Please note that some banks only accept authorizations in electronic form.

The authorization form does not need to be submitted to Finago for signature.

Bank connection authorization is a contract between the customer and the bank. Finago delivers the data but does not get specific information about the content or the mode of the bank authorization. Thus, any questions regarding the content or the mode of the authorization, should be assigned straight to the bank.

Below is told, what information should be filled out in the form. Banks use their own terms for services and the different terms are listed under the service.

Our company/organisation

  • Here you can fill in the company’s / organisation’s name, business identity code and bank account information. The IBAN bank-account number can be found (if already added to Procountor)/generated in Management> Company info > Bank account information. The IBAN bank account number is used in SEPA payment transfer, international payment transfer and Finvoice e-invoice transfer.


The payment transfer services to open

  • Mark here the services to be used through Procountor.

  • When filling out the bank account information, the same services should be selected to the account on Bank account information view.

  • Payroll payments are used for payments through SEPA only, allowing the entry of payment date, i.e. the debit date from the payer’s account.

  • SEPA credit transfer: used for all types of euro payments with banks located in the SEPA area.

  • SEPA instant payments: used for instant payments. If this service is not mentioned separately on the form, it is included in the SEPA credit transfer -service.

  • Currency payments mean foreign payments with material type C2B. If this service is not mentioned separately on the form, it is included in the SEPA credit transfer -service.

  • Inbound reference payments enable reception of reference payments. Sales invoices cannot automatically set off by the reference number to status Paid, if reference payments are not received in Procountor.

  • The real-time bank account balance feature: allows users to see the real-time balance of bank accounts directly in Procountor. Feature needs to be enabled also in Procountor for specific bank accounts on the Bank account information view. Read more about the feature here. If this service is not mentioned separately on the form, it can be included in the Electronic bank statement -service.

  • In order to implement SEPA payments, Payroll payments, express payments or outbound currency payments i.e. foreign payments in Procountor, you must activate them in Management > Company info > Bank account information. Banks charge the payment service fees directly from the customer.


The periodicity of the account statement service

  • In the account statement period, you can define how often the bank account statement date is retrieved from the the bank.

  • Depending on the bank there can be several periodicity options to choose from.

  • In order to keep your information always up-to-date, we recommend retrieving the account statement daily. When selecting the weekly or monthly statement, the accounting data in Procountor will be updated with a delay of a week or a month.


E-invoice agreements to apply

  • The option will only be filled out if Finvoice e-invoice services by the bank are wanted to put in use. Procountor's customers use Apix Messaging Oy’s electronic invoice addresses, so there is no need to open Bank's addresses, unless there is an intention to send electronic invoices to the customers. Apix Messaging Oy’s electronic invoice addresses are put in use by Procountor, and they do not require bank connection authorization.

  • When services are applied, the bank will supply the required addresses for reception and/or sending of invoices. These addresses will be saved in Procountor in management > Company info > Electronic invoicing addresses.

  • Sending Finnvoice e-invoices: order the sending address for e-invoices operated by the bank.

  • Receiving Finvoice e-invoices: order the receiving address for e-invoices operated by the bank.


Implementation date of the service

  • Enter here the start date of the selected data transfers operations through Procountor.

  • Please note! The company info as well as the bank and account information must be entered in Procountor before the implementation date, otherwise the data cannot be transferred between Procountor and the bank.


Customer ID

  • After the bank has processed the authorization, it will create the customer ID to the customer. The ID is required when using the payment functions.

  • The customer ID must be entered in Bank account information view to the Banking code field.

  • Fill out the contact information of the person, who will receive the notification and the customer ID, when the authorization is processed.


Date and signature of the authorizing company

  • In order to be valid, the place, time signature and the clarification of the signature are mandatory.
