Renewed financial statement view - electronic signing

This article explains how electronic signing works in the Renewed Financial Statement view.

Electronic signing is only available in the Renewed Financial Statement view.

Electronic signing will be introduced 5th of November 2026!

The current instructions (see below) describe the feature in advance, and details may still change before release. Manual signing will continue to work as before. The release will be announced in the Version update announcements and on the Version updates page.

Activating electronic signing

Electronic signing is an additional paid service that must be activated for your environment before first use. To activate it, you confirm that you are authorised to turn the feature on in this environment and that you understand it is free of charge until 31 December 2026, after which each successful signature is charged. The confirmation includes links to the price list and the user guide. It is required also during the free period, and you can't send signature requests without it.

You can activate electronic signing in either of two places:

  • Usage settings, Additional features tab: turn on Electronic signing and confirm the authorisation.

  • The Signatures step: the first time you use electronic signing, you can turn it on directly in this step, before you send the signature requests.

Anyone who has full access rights to the closing of accounts tool, or access to the usage settings, can activate electronic signing. If you turn electronic signing off in the usage settings, you are asked to confirm the authorisation again before you can use it.

The service is only available in Procountor’s renewed view, the Renewed Financial Statement view.

Electronic signature

  1. Check that all signatories, including their email addresses, are correct in the Signatories dialog.

  2. Optionally set a Signature deadline. It cannot be in the past or more than 180 days from today.

  3. Select Send signature requests. The confirmation dialog shows the two phases:

Phase 1 - the company signatories, are invited now and sign in parallel

Phase 2 - the auditors, are invited when Phase 1 is completed. Confirm to send. The document is locked, and the company signatories receive an invitation by email.

Signing order

Company signatories are invited when you send the requests. The auditor receives the invitation after the company signatories have completed their signing, and the invitation tells them the document is ready for their signature.

Signer statuses

The signer statuses update automatically.

The status of the whole signing process is Starting, Started, Completed, Declined, Expired or Cancelled.

Sending reminders

Select Send reminders to remind the pending signers whose turn it is to sign. The auditor can be reminded only after the company signatories have completed their signing.

Correcting an email address

If a signer has not signed yet, select Edit email address and enter the correct address. If it is the signer's turn, a new invitation is sent to the new address. Otherwise, the invitation is sent to the new address when the signer's group becomes active.

Excusing a signer

If a signer cannot sign, select Excuse signatory. The process continues without their signature. This cannot be undone. At least one company signatory must remain, and the auditor cannot be excused.

If a signer declines

A banner informs you that one or more signatories have declined the request. You can cancel the process and start over, or excuse the declined signers. If a declined signer cannot be excused (for example the auditor), the banner tells you to cancel the process and start over. The decline reason is shown when the signer has given one.

If the process expires

A banner informs you that the process has expired. Select Extend due date to give the signers more time. The signatures already made are kept.

When everyone has signed

Procountor informs you that all signatories have signed the document. Check that the right people have signed, then select Mark as signed and archive. The signed document is archived and replaces the unsigned version. You can find it in the archive and in the banner in the Signatures step.

Signing log

Select Signing log to see all signing processes of the financial statement, including cancelled and completed ones. The Signatories tab shows each signer's status and the Event log tab shows the events of the process.

Cancelling the signature process

If the document needs editing after signing has started, cancel the signing process first, edit the document, and mark the earlier stages as ready again.

  • Manual signature: select Cancel signing process. An uploaded signed document is deleted. The dialog warns you about this.

  • Electronic signature: select Cancel signature process. All signatories are notified. Download the partially signed document before you cancel, because it is no longer accessible afterwards. After the free period ends on 31 December, all successful signatures are invoiced, including signatures completed before the cancellation (see price list). The cancel dialog also carries this billing note. The cancelled process stays in the signing log.

You can start a new signing process at any time. If the signing process has been completed but the statement is not yet marked as signed, select Restart signing process to unlock the statement for editing. Download the signed document first. A statement that has been marked as signed can no longer be unlocked or edited.

Guide for signers: How to sign the financial statement electronically

A company or an accounting office has sent a financial statement for signing from Procountor. You sign the financial statement electronically in Docue's signing service. You do not need to log in to Procountor or install anything.

How to sign

  1. Open the email invitation. You receive a signing invitation by email from [email protected]. The message shows the name of the person who invited you, the document name (Financial statement), the due date and a message saying that you are invited to review and sign the financial statement of [company name].

  2. Open the document. Select the Review and sign button in the message (Tarkista ja allekirjoita in the Finnish email). The document opens in the signing service provided by Docue (app.sign.procountor.com), titled "Document signing". The top bar shows your status, for example "In signing".

  3. Read the financial statement. On the left you see the heading "Your turn to sign", the sender of the invitation, the due date and the sender's message. The Signers section shows who is signing now ("Signing now") and who is waiting for their turn ("Waiting their turn"). Your own name is marked "You". On the right is the financial statement document, which you can scroll, zoom in and out, and search.

  4. Continue to sign. When you have reviewed the document, select Continue to sign in the top bar.

  5. Identify yourself. The service asks you to select your identity provider ("Select your identity provider"). Choose the country (Finland by default) and your bank, for example Nordea, OP, Handelsbanken, Aktia, S-Bank, Savings Bank, OmaSp or POP Bank, and identify yourself with your bank's identification method.

  6. Done. After you have identified yourself and signed, you see the confirmation "You signed". The signer's status in Procountor changes to Signed. See "After you have signed" below for details.

If you cannot or do not want to sign

Select Decline to sign in the top bar. In the dialog that opens, you can write a reason (up to 200 characters) and confirm with the Decline to sign button, or go back with Cancel. The dialog reminds you that your decision and reason are shared with the other participants. The request is declined, and the reason is shown to the person who prepared the financial statement in Procountor.

After you have signed

After you sign, you see the confirmation: "You have signed the document. We'll notify you once all parties have signed and the completed document is available."

In the Signers section, your row moves to the "Completed" group and shows the signing time, for example "Signed on 28/10/2026, 12:49". The next signer, for example the auditor, is shown under "Signing now".

In the top bar you can download the document with the Download PDF button. The status “In signing” in the top bar describes the whole document, which is still waiting for the other signers.

When all parties have signed, the heading of the signing page changes to "Signed and sealed" and the status in the top bar to "Completed".

  • The page says: "The document has been signed by all parties and the completed document is available."

  • Each signer's row shows the signing time.

You also receive an email "Asiakirja allekirjoitettu" (document signed): "Your document has been signed by all parties and is now available for download." Select the Download document button (Lataa asiakirja) and download the document by the date stated in the message.

Signature details in the document

A page is added to the signed document stating that the document has been electronically signed. For each signer, the page shows:

  • the name as given in the bank identification

  • the signing time in UTC time

  • the signature type “Advanced electronic signature”

  • the identification method, for example "Verified with Nordea

If the signature request has been cancelled

If you open the link in the invitation after the sender has cancelled the signature request or removed you from the signers, you see the message "Allekirjoittaminen peruttu" (Signing cancelled): "This signaturerequest is no longer available. The sender may have cancelled it or removed you from the signers." (the Finnish text is "Tämä allekirjoituspyyntö ei ole enää saatavilla. Lähettäjä on voinut perua sen tai poistaa sinut allekirjoittajista."). If you need a new invitation, contact the person who prepared the financial statement.

Who signs and in what order?

The company signatories (for example the board and the CEO) receive the invitation as soon as the signature requests are sent, and they sign in parallel. The auditor receives the invitation only after the company signatories have signed. The auditor's invitation says that the document is ready for their signature.

Reminders and the due date

If you have not signed, the sender can send you a reminder by email. The signature request has a due date. If the request expires, the sender can extend the due date, and you should then sign within the new time. Signatures already made are kept.

Wrong email address or no invitation received

Check your spam folder. The invitation comes from [email protected]. Ask the person who prepared the financial statement to check your email address. They can correct it in Procountor, and a new invitation is sent to the corrected address

E-signing pricing and free period

In short

  • Electronic signing is free until 31 December 2026.

  • From 1 January 2027, every successful signature is invoiced at EUR 1.65 (+ VAT) per signature.

  • The charge is added to your environment's Procountor invoice.

  • The price is the same in all Procountor product versions. You can also find the price in the price list.

What is a successful signature?

Invoicing is based on signers, not on financial statement documents. Every person who has signed the document electronically counts as one successful signature. Company signatories and the auditor are counted in the same way.

Example: if a financial statement is signed by three company signatories and one auditor, four signatures are invoiced.

You are not charged for:

  • a signer who has not signed (pending, declined or excused)

  • sending reminders. A reminder does not add a charge for the same signer.

  • manual sign

What happens if I cancel or start over?

Successful signatures that have already been made are invoiced even if the process is later cancelled, expires or is declined. The final status of the process does not affect invoicing. If you start a new signing process and the signers sign again, the new signatures are also invoiced.

When you cancel an electronic signing process or restart it, and at least one signer has already signed, the confirmation dialog shows a "Billing note": signatures completed in this session will be invoiced even if you cancel it. The note is shown only when invoicing is enabled and signatures have already been made.

How does the free period work?

The time of the signature decides whether it is free:

  • A signature made on or before 31 December 2026 is free.

  • A signature made on or after 1 January 2027 at 00:00 is invoiced.

What matters is when the signature is made, not when the signing process was started. If a process is started in December but a signer signs in January, the signature is invoiced.

Activation and consent

You must activate electronic signing for your environment before first use by confirming that you are authorized to do so. This is required also during the free period, and the pricing is shown as part of the
confirmation. You can activate it in the usage settings (Additional features tab) or in the Signatures step. For detailed instructions, see the article Renewed Financial Statement view.

How does the charge appear on my invoice?

The charge for electronic signing is added to your environment's Procountor invoice.

Test environments

Electronic signing is available only in production environments and cannot be used in test environments
