Ask is a conversational AI assistant available through chat that helps you explore and understand sales and purchase data more efficiently.

You can interact with Ask either by typing or speaking. Ask automatically converts your speech into text. For example, you can create a sales invoice using your voice or ask for reporting information by speaking.

Ask is available to users who have activated the renewed Procountor interface.

How to open Ask and user rights

The Ask AI assistant can be accessed from the Procountor top navigation via the Ask icon.

Viewing Ask Assistant and reporting data requires that you have the required user rights.

  • For example, if you have viewing rights to sales invoices, you can ask Ask for sales reports, but you cannot create invoices. Creating invoices requires all rights to sales invoices.

  • A question mark icon is available at the top of the Ask conversation window. Clicking it opens the user guide.

  • The plus icon appears when you are chatting with Ask. Clicking it starts a new conversation. Please note that this will delete your previous conversation.

  • You can expand the Ask window by clicking the arrow icon and close it using the close icon.

  • Ask automatically saves your conversation history. You can return to previous conversations through the conversation history panel. You can also delete your conversation history if you wish.

    • If you do not continue a conversation, it will be automatically deleted after 180 days.

What can you ask Ask?

You can ask Ask any questions related to your sales and purchase data, using the following variables: customers, products, and time periods.

In practice, Ask can provide the same insights as the existing sales report —without needing to manually configure filters or report formats. Instead, you just send a single message.

You can ask questions conversationally in any language (FI, EN, SE), and receive answers in the same language.

You can ask questions such as:

Sales reporting

  • Who are my best customers this year?

  • Compare the total sales of the top 10 customers over the past 3 months.

  • What are the top-selling products this year?

  • Are there any customers whose purchases have decreased this year compared to the same period last year?

Purchase reporting

  • Who are our largest suppliers?

  • Compare purchases by supplier this year.

  • What were our largest purchases last month?

Invoice search

  • Find invoice number 12345.

  • Show unpaid invoices for this month.

Create an invoice

  • Create a sales invoice for company X with product Y.

  • I want to create an invoice, help me.

Requests can also be made by listing search criteria instead of writing a single sentence.

Ask works best with requests that are clear and specify, for example, the time period to be analyzed and the scope of the requested information (for example, whether you want to view the “top 10” customers or only the “top customer”).

  • Ask will nevertheless try to identify the information that is most relevant to you.

  • If necessary, Ask will ask you for additional details.

Create an invoice


You can create sales invoices through Ask in two ways.

Guided approach

  • Ask Ask to guide you through creating an invoice, for example: “I want to create an invoice.”

  • Ask wil request the necessary information from you step by step.


Direct approach

  • Provide the invoice details directly to Ask, for example: "Create a sales invoice for Customer Ltd, product Consulting, 5 units at 150 euros each."

Ask will generate a draft invoice based on the information you provide and show it to you. You can review the details and ask Ask to make changes before confirming the invoice.

Invoice search

Ask can help you find invoices. Here are some examples how:

  • Find invoice number 12345.

  • Show unpaid invoices from last month.

  • Find invoices for customer Company Ltd.

  • Which invoices are waiting for payment?

Sales data considered by Ask

Ask generates responses based on the sales data stored in your Procountor environment, using the same principles as the sales report feature.

  • Receipt type: Ask only considers sales invoices—not sales orders or offers.

  • Receipt status: By default, Ask includes all document statuses, just like the standard sales report. You can also ask Ask to include only finalized transactions.

  • Receipt date: When requesting data for a specific time period, Ask uses the invoice date by default. For example, an invoice dated in January is counted in January’s sales, regardless of the actual payment date. You can also ask Ask to use the posting date instead.

  • Customer: Ask includes both customers from the customer register and manually entered customer details on invoices.

  • Product: Ask includes both products from the product register and manually entered items on invoices.

  • VAT: By default, Ask provides sales amounts excluding VAT.

Types of responses from Ask

Ask can present information in the following formats:

  • Text

  • Table

  • Graph

You can also refine the responses by suggesting changes. Often, Ask will proactively ask if you'd like the same data in a different format.

Accuracy and limitations

Ask’s responses are generated using AI, so occasional errors are possible. If Ask is unsure about your request, it will ask for clarification.

Each response includes a brief explanation of how Ask interpreted your question and generated the answer. This helps you verify whether Ask understood your intent correctly.

Please note that AI-generated responses may have limitations and should be reviewed for accuracy. Aks does not give accounting, tax, or legal advice. Verify outputs against official reports and source documents. You are responsible for any decisions made using Ask.

Security and data privacy

Ask is powered by GenAI technology (generative AI), which uses advanced models to generate content based on your requests. It relies solely on the sales data stored in your Procountor environment.

Ask operates in a fully closed environment—no data is transferred outside of Procountor’s cloud infrastructure. This means:

  • Your sales data and questions asked via Ask are not shared with third parties.

  • Although we use logged prompts to improve the overall product experience (for example, by fixing bugs and optimizing features), they are not used to train or fine‑tune the AI models themselves.

The assistant runs within systems managed by Procountor, ensuring it continuously complies with our data security principles.

General explanation of logging

To operate, maintain, and improve the GenAI chatbot, we log user prompts and the corresponding chatbot responses. When you use the chatbot, your prompts and the conversation history may be stored and processed in accordance with our policies. Your interactions with the chatbot may be accessed by authorized personnel only for the specific, limited purposes described below.

Purposes of prompt logging
Prompt logs may be used for:

  • Investigating and resolving bugs or defects when necessary

  • Detecting, preventing, and investigating misuse or abuse of the service

  • Improving product quality, performance, and user experience

  • Providing you with access to your own chat history and previous conversations

Reminder about sensitive data

Please do not enter any highly sensitive or confidential information into the chatbot, including data you would not want to be stored or reviewed. Avoid sharing personal data such as passwords, financial information, health information, government ID numbers, or any other sensitive details in your prompts. Because prompts and chat histories are logged, you should not input information that you consider secret, highly confidential, or otherwise too sensitive to be stored. By using the chatbot, you acknowledge that your prompts and chat history may be logged for the purposes above, and you agree not to submit information that you do not wish to be logged.

Other clarifications

Prompt logs are retained for as long as necessary for the purposes described above and, in any case, for no longer than 90 days. Logged prompts and chat history will be deleted permanently after the retention time. Access to prompt logs is restricted to authorized personnel who need them to perform their job duties (for example, investigating a technical issue or misuse).
