With the Procountor mobile app, you can quickly take photos of receipts and save their details—even while on the go.
The app includes built-in optical character recognition (OCR) technology. This means the text content of the receipt is automatically read from the image and filled into the receipt fields in the app.
Additionally, automatic AI-based expense categorization suggests a suitable expense type for the receipt using artificial intelligence. (NEW feature on October 9, 2025!)
Captured receipts can be attached to expense or purchase invoices. These invoices can be created either in the mobile app or, if needed, in the browser version of Procountor—by the person who took the photo or, for example, by an accountant.
How to photograph receipts using the app
Start creating a receipt
From the app’s home screen, tap Create new > Receipt.
Take a photo of the receipt
When taking a photo for the first time, the app will ask for permission to use your device’s camera. Allow access by tapping OK.
If you need more light, tap the flashlight icon in the top left corner.
You can also upload receipts saved in your phone’s photo gallery by tapping the Gallery icon in the bottom right corner.
To access receipts saved in your phone’s file storage, tap the Files button in the bottom left corner.
Crop the receipt
The app will automatically try to detect the edges of the receipt and crop it accordingly. You can manually adjust the crop area by dragging the frame edges. This helps with further processing in accounting.
Confirm the receipt
Once the photo is taken, tap the Done button.
If needed, you can retake the photo by tapping Retake.
Review the details
The app reads the receipt’s details and fills them in automatically. You can only enter one receipt’s details at a time.
The app’s built-in AI feature (added on October 9, 2025) interprets the receipt and suggests a suitable expense type using artificial intelligence. You can change the suggested type if needed. The available expense types come from your Procountor environment’s fixed travel and expense product register. A correctly selected expense type helps, for example, your accountant to allocate the expense properly in Procountor.
You can edit the recognized details directly in the app or in the browser version of Procountor. Required fields include: payment method, purchase date, amount, and VAT percentage.

Company credit card
Company debit card
Company cash
Company bank transfer
Personal funds
Add any attachments
You can add additional attachments to the receipt using the Add attachment button.
Attach the receipt to an invoice
How the expense invoice is created depends on the selected payment method.
Creating an expense invoice in the app:
If the payment method is Personal funds, the app automatically creates an expense invoice from the receipt when you save the receipt details.
If you have an unfinished expense invoice, the app will automatically add the receipt to that invoice.
Once the expense invoice is ready, send it for review. This allows the receipt to be reviewed by relevant parties, such as supervisors or accountants.
Who receives the invoice for approval depends on the approval workflow settings defined in your personal profile.
Creating an expense or purchase invoice in the Procountor software:
If the payment method is anything other than Personal funds, the receipt will be transferred to Receipt
Management in the Procountor software after you tap Done.
Depending on your organization’s workflow, either you or, for example, your accountant can continue processing the receipt and attach it to an invoice via Receipt Management in Procountor.
