Task list view is a multi-environment tool designed primarily for accountants but available to all users with access to more than one environment in Procountor with the same username. It provides a single, consolidated view for time-critical tasks across all environments the user has access to, based on their user rights. Note. The possible Swedish environments are filtered out, in case user has access to them as well.
With one glance, users can ensure that all necessary tasks are completed. The Task list view supports the fluent process flow of ‘jobs to be done’. The Task list aims to:
Support accountants’ work by aggregating time-critical tasks from all environments into one real-time view.
Improve efficiency and timeliness, reducing also the risk of possible penalty fees.
Provide clarity, ease of use and structure for handling everyday tasks.
The Task List view can be accessed from the "Task List" icon in the top bar or via the search bar results. By clicking a task in the Task List, you can navigate directly to the relevant environment and the view where the task can be completed.
Task list includes following task types
VAT notification (Tax return for self-assessed taxes)
The task is displayed if the notification for a target month has been sent or not. The task is shown as Start (yellow) 2-7 working days to due date (Mon-Fri, excl. bank holidays) and as Done (green) when the notification has been sent.
The task is visible only if the company is marked to be in VAT register: In Basic info view (Basic info > VAT reg. entry/VAT register entry). Visibility is not tied to a created VAT notification, as the notification needs to be filed with a pre-defined frequency based on company’s VAT period (Management > Accounting info > Tax information view).
Note. The task does not track the possible need for a replacement notification if changes to receipts occur.
If the VAT notification has been done in MyTax service and not via Procountor, the task will show in the Task list view as a pending one. The task are shown if the VAT period is in an open financial year (are fetched 2 years retrospectively from the current date).
VAT notification payment (Tax return for self-assessed taxes)
The task helps accountants keep track if the payment receipt (invoice) for Tax return for self-assessed taxes notification has been paid or not. The task is shown as Start (yellow) 2-4 working days to due date (Mon-Fri, excl. bank holidays) and as Done (green) VAT notification payment receipt is in status Payment queued, Payment sent to bank, Paid or Marked paid.
Each VAT payment receipt is a separate task, even with several VAT payment receipt for the same VAT period. Requires that the notification has been created, and it has a VAT payment receipt (with more than 0,00€).
The task is visible only if the company is marked to be in VAT register: In Basic info view (Basic info > VAT reg. entry/VAT register entry). Open VAT payment tasks are shown also for closed financial years (are fetched 2 years retrospectively from the current date).
VAT EU recapitulative statement
If companies have B2B sales to customers in other EU countries, they need to report these sales to tax authorities monthly (even if the company’s VAT notification period is 3 or 12 months). The task is shown as Start (yellow) 2-7 working days to due date (Mon-Fri, excl. bank holidays) and as Done (green) if the notification has been sent.
The task displays whether the notification for a target month is still pending or has already been submitted for customer environments that have EU-related sales. EU sales are identified from receipts (sales invoices and/or journal receipts) that are included in the VAT EU recapitulative statement notification. The receipt must be considered a business transaction: Sales invoices: Approved, Not sent, Sent, Partly paid, Paid and Marked paid and Journal receipts: Approved (excluded receipt types are Sales offer and Sales order).
If no receipts meet these criteria for a given month, no task is shown for that month.
The task is visible only if the company is marked to be in VAT register: In Basic info view. The task is visible only if the target month based on receipt date(s) is in an open financial year (are fetched 2 years retrospectively from the current date).
Note. There is no payment task related to this notification.
Payment error
The task appears in the Task List when Procountor detects an unhandled error in a company. Payment error tasks always appear with the status Urgent (red) and the status does not change while the error remains unhandled. The task is automatically removed from the Task List when the error is marked as handled.
Errors arise from failed payment operations and other types of errors and cover the following error categories: Invoice payment errors, Finvoice send errors (sales invoice), Finvoice receive errors (purchase invoice), TYEL announcement errors (a TYEL pension announcement could not be sent) and NETS collection errors (a NETS direct debit collection failed).
Clicking a payment error task row opens the view that is relevant to the specific error (Procountor opens the target view in the correct environment, even if a different company environment is currently active). Errors are fetched for 3 months’ time.
For both payment and sending errors, clicking the task allows you to handle the same errors as in the environment-specific Payment and sending errors view.
Sending error
Error task appears in the Task List when Procountor detects an unprocessed e-invoice (Finvoice, only failures on the e-invoice channel). Sending error tasks always appear with the status Urgent and the status does not change while the error remains unprocessed. The task is automatically removed from the Task List when the error is marked as handled.
Note. No email sending errors are included.
Clicking a sending error task row always opens the invoice view for the sales invoice that could not be sent (Procountor opens the target view in the correct environment, even if a different company environment is currently active). Errors are fetched for 3 months’ time.
Task list view’s functions
Task list view can be accessed from the “checklist” icon in the top bar, or via search bar results.
Tasks visible in the view are sorted and displayed in a prioritized order based on: 1) Status 2) Due date 3) Company 4) Task.
Statuses: Each task has defined status thresholds based on workload. Quick tasks (e.g., payment actions) are prompted to be started a few days before the due date while more complex tasks (e.g., VAT notification readiness) are prompted more than a week before due date. The statuses used are: Upcoming task (no color-coded status), Start (yellow), Urgent (red, due today or late) and Done (green). When a task is done, its status updates into Done within a few minutes.
Prioritized task list: Tasks are ordered by due date (ascending) and displayed with a traffic light system for quick visual prioritization.
Company name is shown ascending (first numbers 0 > 9 and then letters A > Ö). Selecting a group of companies to Favorites supports having a customized default shortlist of environments. Maximum of 100 companies can be selected simultaneously. Companies can be added to favorites and removed from favorites by clicking on the outlined (to add) or filled (to remove) star icon visible when hovering over the company name in All companies list or with keyboard navigation tab + enter. The list is updated after a reload or when returning to Favorites from the All companies list.
Task type is listed in alphabetical order by user language. By default all supported task types, for which user has user rights for, are listed and selected. The task list can be filtered by company, task type and task status. Filter selections are retained over sessions to support a fluent workflow.
Direct Navigation: Users can navigate from a task directly to the relevant environment and view to complete it.

Search field: Input is searched from the table content (all columns) and can be used as quick filter on the search results
Settings icon:
Columns - User can hide/unhide selected columns in the table. As default all columns are visible
Column sizing - User can select between several column width options: Auto (fits columns to current screen), Fit to headers (fits to column header text width), Fit to widest content (fits to widest cell content in each column) and Manual.
Density - Row hight can be adjusted with options Standard (default), Compact and Comfortable.

Data content can be sorted by clicking on the column headers. In the default state the arrow icons are not visible in the column headers but can be seen when hovering over the cell. After re-ordering the content by clicking on the column header, the up/down arrow icon will stay visible in that cell to display the column and order the table data is sorted by.
Table is paginated with options of 10 / 25 / 50 / 100 rows per page. By default, 25 rows are shown per page. The rows currently visible are indicated with the numbers of current rows vs total rows (e.g. 101-200 of 422).
Arrow buttons can be used to move to the next / previous page. Previous / next buttons are disabled if the first / last page is visible in the table.
Task list view is still being developed and its purpose is to be an advanced tool that enhances efficiency, timeliness and visibility across multiple environments, making accounting work smoother and more structured.
